Selecting business software

Selecting business software comes down to compatibility. Most business owners recognize the need for basic software: data base, accounting, word processing. From Sales campaigns to purchase, a relational data base can track very important data that can be used later for management reporting. There are two types of data bases. The first is a contact format, meaning that with simple data entry, names, addresses, phone numbers, etc. are kept, address-book style. However, the “memo” fields on most contact data bases are limited. So, if you need substantial room in which to record additional data such as project information or vendors related to projects, a relational data base is likely more suitable. Data base software has a “sort” feature that allows you to sort information based on any key word. This is enormously handy for sales because it creates a clear picture of areas where sales are concentrated and the types of sales in those areas. It also helps project managers who may wish to keep an archival record of past sales of certain products or services for resale campaigns. Entire reports may be created simply by sorting information from a data base.

The second type of business software most commonly used on a day-to-day bases is wordprocessing. This is crucial if your correspondence includes sales letters, proposals, contracts and management report summaries. Formerly, fully functioning wordprocessing software was installed on hard drives when a computer was purchased. However, at present, only basic versions are included. If you will be using a wordprocessor for significantly more advanced work that includes embedding graphics or as a compatible venue for the internet, you may wish to look into a more sophisticated wordprocessing software for your needs.

Most businesses uses accounting software. However, at present, accounting software has been expanded to include many accounting features formerly used only by CPAs. Before you purchase accounting software, determine the type of accounting your business is regularly involved in. If your business transactions are simple, look for software that accommodates your needs. If your daily business transactions are more complex such as in the case of engineering where transactions have more than one phase, you may need to shop around for specifically oriented accounting software.

If you plan to do your advertising and company sales literature in-house, business software that allows you to create and publish full-featured brochures and flyers is a necessity. This type of software usually also includes the ability to create web pages for the internet. This software is graphically oriented and is fairly user-friendly.

Some business require very business specific software. Example: Engineering businesses rely heavily on graphic design software such as AutoCad to create structural and mechanical design drawings. Architectural software is also business specific. There is even a line of software available for libraries and museums.

Above all, it’s important that your business software is compatible. Often, you may have text to export into a brochure you intend to publish or for a web page. When your word processing software isn’t compatible, time and money is wasted.
